We process the following data, insofar as provided by you or necessary for our services:

• First and last name
• Address details
• Phone number
• Email address
• Invoice and payment data (via Triodos Bank, exclusively for invoices)
• Data you actively provide (for example by email or phone)
• Technical data such as IP address, browser, device, and browsing behavior (with consent for non-essential cookies)

We process your personal data for:

• Processing and delivering orders (performance of contract)
• Handling payments and administration (legal obligation, 7-year retention requirement)
• Sending our newsletter, if you have subscribed
• Optimizing our website (with consent for non-essential cookies)
• Handling questions or complaints (performance of contract)

• Invoice and payment data: 7 years (legal obligation)
• Newsletter data: until you unsubscribe
• Other data: no longer than necessary for the purpose for which it was collected

We only share your data with parties necessary for our services. In certain cases, personal data is entrusted to data processors who perform tasks on our behalf. These include providers of backup and cloud solutions, payment providers, and delivery service providers that we use.

We enter into processing agreements with these parties to ensure an appropriate level of security. We never sell your data to third parties.

When you sign up for our newsletter or request our brochure, we use Cloudflare Turnstile to check that the form is being filled in by a person and not by an automated program. This stops others from misusing our forms, for example by signing up email addresses that are not theirs.

For this check, Cloudflare processes your IP address and technical details of your browser and device. It does so on our behalf, based on our legitimate interest in protecting our forms and the people whose email addresses could otherwise be misused. We only use the outcome to accept or refuse the submission and do not store it. Cloudflare may also use this data to improve its bot detection; it does so under its own responsibility, as described in its Turnstile privacy addendum. Turnstile does not place cookies on our website.

Cloudflare, Inc. is based in the United States. Transfers of personal data to Cloudflare are covered by its certification under the EU-U.S. Data Privacy Framework and, as a fallback, the European Commission's standard contractual clauses.

We use functional, analytical, and marketing cookies. On your first visit to our website, we request consent for placing cookies through a cookie management banner. You can always adjust your preferences or delete cookies through your browser settings.

If you have given us your mobile number and agreed to it, we may send you text messages (SMS). We only do this with your prior consent, and you can withdraw that consent at any time, free of charge.

Our SMS Terms set out the programme in full: what we send, how often, what it costs, how to stop the messages, what we do with your mobile number, and the legal basis we rely on.

The customer reviews on our website are a selection of the reviews on our Google Business Profile. We show them unedited, in the original Dutch, with the reviewer’s first name and the initial of their surname. Google does not check whether a reviewer bought from us, and we do not run a check of our own.

We show these reviews based on our legitimate interest in letting visitors see what others think of us. If you wrote one of them and would rather not see it on our website, email info@kairosfurniture.com and we will remove it.

You have the right to access, correct, delete, restrict, and transfer your personal data. You can also object to the processing of your data or withdraw previously given consent.

You can submit a request via info@kairosfurniture.com. To verify that the request was made by you, we may ask for a copy of your identity document. Please make your photo, MRZ (machine readable zone), passport number, and BSN (citizen service number) illegible. We will respond within one month.

If you are not satisfied, you can file a complaint with the Dutch Data Protection Authority (www.autoriteitpersoonsgegevens.nl).

We take appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. This includes encrypted connections (SSL), restricted access, and agreements with our partners.
